Time-based rules
Most automation triggers fire the instant something happens. A Time-Based rule (Pro) works differently: it runs on a schedule and looks at each lead’s current data, which lets you act on things that have not happened.
How it runs
A background task checks every active Time-Based rule against leads that have not already triggered it. Leads that match the rule’s conditions run its actions. Because it relies on WordPress cron, timing is approximate; see Sequences not sending for cron tips.
What it is good for
- Re-engaging leads whose score has stayed low
- A reminder to leads who have not opened any email
- Moving stale leads to a “Cold” tag or pipeline stage
- Follow-ups a set time after sign-up
Setting one up
- Go to Automation → Add New and choose the trigger Time-Based.
- Add conditions that describe the leads you want (for example score less than 15, or a tag equals “no-reply”).
- Add the actions, such as Enroll in Sequence or Add Tag.
- Tick Run once per lead so each lead is only acted on once.
- Save and confirm the rule is active.
Conditions you can use
Conditions compare a lead field or score using operators such as equals, not equals, contains, does not contain, starts with, greater than, less than, greater or equal, less or equal, is empty, is not empty and in list. Groups are combined with AND, and conditions within a group with OR.
Always use “Run once per lead”
Without it, a lead who still matches the next time the task runs would be acted on again. Run once per lead makes the rule fire a single time for each lead.
